Terms and Conditions for Dealers

By registering as a Dealer or Dealer’s Assistant(s), you agree to comply with all relevant terms, conditions and policies provided to you in this document by the Dealers’ Den Team and Ainmhícon (hereby referred to as “the Convention”).
Dealers’ Registration
- Dealer registrations operate on a curating system, where each application will be reviewed and all successful applicants will be offered the table of their choosing or an available alternative
- When a Dealer is successful with their Den application, their requested Dealers’ space is reserved.
- Payment for the Dealers Den table will be €30. We will take payment after confirmation of your registration and your Dealers table.
- If there are no tables left, a Dealer may be placed on a waiting list. Once more tables become available, they will be offered on a basis in the order of the waiting list.
- Dealers’ registered Fursona and Trade Name may be listed on the Dealers’ Den Map, Dealers’ List and Conbook, unless expressly requested otherwise.
- The Convention reserves the right to refuse anyone Dealers space for any reason.
- Dealers’ Den Management (hereby referred to as “DDM” and consists of the Head of the Dealers’ Den and the Deputies of the Dealers’ Den) reserves the right to prohibit the sale of any products or item(s) that are deemed inappropriate, illegal, unsafe or a risk to health, or in breach of these terms and conditions.
- Ainmhícon list of Prohibited Items can be found here within the Code of Conduct.
- DDM or Convention Directors reserves the right to close down a Dealer’s space and/or to request actions that the Dealer must comply with. This will not entitle you to a refund or compensation.
- The Convention reserves the right to enforce the tear down of Dealers’ space if deemed unsafe or in breach of the conventions and Dealers’ Den’s terms and conditions. This will not entitle you to a refund or compensation.
- Dealers maintain sole responsibility and liability to monitor, manage and secure their valuables and stock at all times — any Dealers’ unsupervised property is left in Den at Dealers’ own risk,
- The Convention accepts no liability for any loss/theft/damage unless caused through negligence of the Ainmhícon team.
- Dealers are responsible for ensuring that their registration information is accurate and up to date, as these details are published in the Conbook and on the Ainmhícon Website.
- If a dealer makes an amendment they must contact the DDM by emailing dealers@ainmhicon.ie

Stall Descriptions - The DDM accepts no responsibility for dealers’ failure to update information which results in incorrect information being published.
- Dealers are not permitted to resell their Dealers’ space.
- Dealers can cancel their Dealers’ space registration by following the steps dictated in the Dealers’ Den Cancellation and Refund Policy.
- To mitigate potential damage losses, Dealers are solely responsible for ensuring that they have in place appropriate insurance to cover themselves and their goods from damage (including from fire), as well as public liability insurance. Dealers will be asked to indicate that they are aware of and accept these responsibilities on registration for a table.
Cancellation and Refund Policy
- Dealers are entitled to cancel their Dealers registration with a full refund, within 14 days of their full payment for Dealers registration being received by Ainmhícon.
- If a Dealer wishes to cancel after the 14-day period, they will not be eligible for a full refund, unless there are exceptional circumstances, and at the discretion of the DDM and/or the Ainmhicon Directorate. Dealers must submit an email to dealers@ainmhicon.ie, where the DDM will consider if any level of refund is appropriate.
- If a Dealer wishes to cancel their Dealers registration they must email dealers@ainmhicon.ie. Please make sure to provide your badge number, registered Trading Name, and registered nickname.
- Ainmhícon cannot be held responsible for any force majeure circumstances, (including, but not limited to, acts of God, governmental authority, acts of war, or acts of terrorism) that may prevent the Convention from providing and/or operating the Dealers’ Den, in these circumstances, a refund cannot be guaranteed.
- Ainmhícon reserves the right to cancel the Dealers’ Den and its services without warning.
- Failure to notify DDM of cancellations and/or non-attendance may jeopardise your eligibility to apply for Dealers’ space in future years.
Responsibilities of the Dealers
- Dealers are responsible for the safety of their property and equipment when the Dealers’ Den is in operation. Additionally, Dealers are responsible for ensuring their actions do not cause harm, endangerment or damage to other Dealers’ merchandise, Dealers, Assistants, Attendees, Hotel Staff, and Convention team members.
- This includes unplugging all electrical objects from any source of power, and turning off any battery powered electrical objects at the end of each day.
- The DDM will unplug or turn off any electrical objects that have been left on without warning or notice and accept no responsibility for any damages that this may cause.
- Gambling is not permitted within the Dealers’ Den. However Loot/Mystery Boxes are allowed, but must follow the guidelines as shown on https://www.citizensinformation.ie/en/justice/civil-law/the-law-on-gambling-in-ireland/
- Food and beverages must not be sold within the Dealers’ Den.
- Commercially sourced sweets are permitted to be given freely to attendees, however, they must not be sold and must be pre-packaged.
- Dealers should keep adult artwork out of sight, or discreetly within clearly marked folders hiding the content unless it is being viewed by a prospective customer. Where practical, separate adult and non-adult art folders would be appreciated.
- Adult 3D artwork/sculptures must be completely covered (e.g. under a veil) or kept under the table(s), booths and stalls unless being looked at by a potential customer.
- Items depicting copyrighted characters, products, or trademarks cannot be sold unless the Seller can provide evidence of written permission, either by email or letter-headed paper from the rights holder, prior to the commencement of the Convention.
- Dealers’ must be aware of and manage their own copyright issues surrounding merchandise and products sold in the Dealers’ Den. The Convention cannot be held liable and is unable to be involved or prevent Intellectual Property holders from entering, seizing, or issuing legal action against infringements.
- If licensing is obtained, this MUST be in the legal name of the Dealer or in the Trading Name of the Dealer as it appears in their Ainmhícon registration.
- Products that include creative work that has been wholly or substantially generated using generative AI tools or algorithms are strictly prohibited (“Prohibited Products”). Examples of Prohibited Products include:
- Visual artwork, such as images, graphics, video content or animations, primarily created with AI image generators.
- Books, magazines, or comics where the writing or illustrations were produced using AI tools.
- AI-generated music or audio.
- AI-generated code sold as original software or tools.
- 3-D printed items for sale on your stall must be of your own design.
- Dealers are only permitted to sell their own creations and cannot use their table space to sell merchandise made by other attendees or their assistants.
- Selling Dropshipped goods or reselling items is strictly prohibited.
- Dealers are required to declare, and have any electrical items tested by an Ainmhícon approved and provided ‘PAT Tester’ when setting up their Dealers’ space. Dealers’ will not be allowed to take electrical items to their Dealers’ space until they have been tested.
- Dealers must set up their Dealers’ space by no later than the beginning of the trading day of their table reservation. The DDM reserves the right to resell any unfilled space to other interested parties without prior notification or compensation.
- Dealers and Dealers’ Assistants must wear the respective Dealer or Dealer Assistant badge at all times whilst within the Dealers’ Den.
- Dealers may use the underside of their Dealers’ space for storage. All walkways, both in front, behind, and to the side of the tables, must be kept clear at all times and not be obstructed in any way.
- In the unlikely event of an emergency and evacuation, Dealers will be expected to evacuate when instructed to do so, leaving behind belongings if urged to do so to prevent people from delaying safety.
- Dealers should refrain from activities that may distract or disrupt any other Dealers. This includes encroaching onto other Dealers tables with their displays, music
- Dealers are responsible for the immediate area surrounding their Dealers’ space, Dealers must ensure this is kept tidy at all times, no food or drink is left around at the end of each operating day and any rubbish is placed in the appropriate Dealers’ Den bins at the end of each day.
- Dealers who decide to use their purchased space to create structures, booths or stalls must declare on their Dealers registration in the special requirements section. Grid cube structures can go no higher than 130cm high off the table (4 cubes high).
- DDM may request Plans, Designs, and Images for review, along with completing a risk assessment. Dealers should provide all the requested documents to dealers@ainmhicon.ie within timelines requested by Dealers’ Den.
- Any structure, booths, or stalls are subject to at-con checks by the DDM.
- The DDM reserves the right to refuse any structure, booth or stall at any time, this includes before or during the convention.
- Dealers who use structures to present merchandise must ensure that their products can only be seen from the front of their stall.
- Any images on the reverse side must be entirely covered, this is to prevent unwanted impacts or misunderstandings with other Dealers.
Dealers’ Assistants
- Dealers will be provided with 1 Dealers’ Assistant badge per confirmed table.
- Dealers can choose a fully registered and paid Attendee to be their Assistant, this includes day ticket attendees.
- Dealers must include the Fursona names and Badge numbers of their assistants.
- If a Dealer requires additional assistance during their Set-up/Tear-down, they must inform the DDM so they can allocate help.
- Assistants MUST wear their Dealers’ Assistant Badge at all times within the Dealers’ Den, anyone not wearing these will be asked to leave the Dealers’ Den, and likely refused entry.
- Dealers’ Assistants are only permitted to be within their respective Dealers’ space, their badge does not entitle them to be behind any other Dealers’ space.
- Dealers’ Assistants are NOT permitted to sell any merchandise of their own, they must go through the standard process to apply to be a Dealer, followed by arranging a Dealers’ space share through the Dealer Registration process.
- Failure to comply with this will result in the Dealers’ Assistant being told to remove the offending items OR the Dealers’ Assistant will be removed from the Dealers’ Den.
Final Agreement
- The Convention is only responsible for the provision of Dealer space and as such, not responsible for any commercial matters or disputes between Attendees, Dealers, Dealers’ Assistants, and members of the Ainmhícon team.
- Any persons found to be in breach of the above clauses will be removed from the Dealers’ Den, with no refund given. This may further result in suspension from the Convention under review of the Ainmhícon Directorate, without refund or compensation. If considered a bannable offence, this may jeopardise Dealers’ eligibility to apply for Dealers’ Den or register for Ainmhícon in future years, subject to Directors’ decision.
- The DDM operates a zero-tolerance policy regarding abuse and inappropriate behaviour toward any Ainmhícon event participants. Any such incident may result in any and all participants being removed from the Dealers’ Den, this may result in further suspension from the Convention under review of the Ainmhícon Directorate without refund or compensation.
- In the event of fire, natural disasters, or any other emergency (including evacuation), Ainmhícon shall not be held responsible or liable for any loss, damage, or destruction of items belonging to dealers, their assistants, or customers.
- Ainmhícon is absolved of any and all liability in the event of a Dealer being found to be in breach of but not limited to, Irish Law, regulations, and copyright infringements.
- The DDM accepts no responsibility for Attendees, Dealers and Dealers’ Assistants failure to read/understand/follow the Terms and Conditions.
